Job Summary: Talent Software Services is in search of an Administrative Assistant for a contract position in Maple Grove, MN. The opportunity will be one year with a strong chance for a long-term extension.
Position Summary: The primary focus is providing complex administrative support for individuals and/or departments. Works under limited supervision with general instructions given on new assignments.
Primary Responsibilities/Accountabilities:
- Performs general administrative duties that may include photocopying, coordinating meetings/appointments, typing, faxing, ordering/maintaining supplies, arranging travel, and preparing and/or sorting mail.
- Assists with expense reconciliation, vendor POs and payments.
- Coordinates events for team on and off site meetings
- Works with various department teams where needed
- Serves as a point of contact for internal customers. Contacts are frequently within own organization and involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature.
- Answers complex functional questions that may require additional research and follow-up. Viewed as key functional resource.
- Collaborate with cross functional partners to understand project goals/needs including budget, timing, expected deliverables or content creation/development, execution and measures for success.
- Makes decisions using independent judgment under only general guidelines.
- Creates and maintains professional documents (letters, org charts, presentations, etc.); ensures the document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications.
- Responsible for confidential information which typically consists of company/division sensitive information (i.e. new product technology, organizational changes).
- In all actions, demonstrates a primary commitment to patient safety and product quality by maintaining compliance to the Quality Policy and all other documented quality processes and procedures.
Qualifications:
- High School or equivalent and 3 years of related experience with certification in assigned area required.
- Open to - associate or bachelor's degree in business administration or office management preferred
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook) as well as familiarity with collaboration tools (Teams)
Preferred:
- Project management software (Monday.com)
- Problem Solving and Adaptability: Ability to make decisions independently, solve issues on the go, and adapt quickly to changes in a fast-paced environment.
- Communication Skills: Excellent verbal and written communication skills are essential for interacting with executives, colleagues, and clients.
- Organizational Skills: Ability to manage multiple tasks, schedules, and deadlines with high attention to detail
