The Administrative Assistant provides clerical, administrative, and programmatic support that facilitates the day-to-day operations of the Senior Nutrition Program and Hirsh Kosher Kitchen. This position requires an individual with a strong attention to detail and exceptional organizational skills. It also requires an ability to interact and provide customer service with individuals at all levels.
Qualifications:
- 2 years of administrative experience in an office setting
- Experience working in a social service environment is a plus
- Excellent phone presence, etiquette and professionalism
- Bilingual Spanish, Russian or Farsi is a plus
- Must be able to multi-task while remaining flexible, with attention to detail and the ability to meet deadlines with minimal supervision
- Proficient in Microsoft Word, Outlook, and Excel
- Experienced in computerized data entry/retrieval
- Knowledge of all basic office equipment required
- Excellent verbal and English grammar skills and the ability to compose and edit written materials
- Detailed Oriented - Pays attention to multiple details and multiple tasks while minimizing errors
- Sound knowledge of English grammar and word usage—including the ability to edit and compose written material.
- Self-starter who is flexible and comfortable working in an environment where priorities can change quickly
- Ability to use good judgment in giving information on behalf of the office staff, work independently, make administrative decisions when appropriate, handle confidential information.
- Culturally sensitive and able to work with a multicultural client/customer population
- Ability to work in a non-judgmental manner and foster positive growth/outcomes
- Ability to work as part of a team and maintain professional boundaries
- Must pass a criminal background check (Live Scan fingerprinting) prior to beginning employment
Responsibilities/Essential Functions:
- Serve as administrative support for the JFS Senior Nutrition Program and Hirsh Kosher Kitchen
- Answer phones, direct calls and provide assistance to clients and staff
- Provide general information and referrals to callers as needed
- Maintain inventory and order office and program supplies
- Review invoices; prepare check requests and liaison with the agency’s Fiscal Dept.
- Open, sort and appropriately distribute mail, faxes and other printed materials
- Prepare program-specific forms and materials including daily meal transmittal sheets, kitchen productions sheets, monthly menus, special flyers, staff schedules, and quality assurance reports
- Independently prepare letters, reports, agendas, etc.
- Assemble data and prepare statistical reports and other materials on multiple projects
- Maintain client data base
- Maintain confidential files and records related to the operation of the office and compliance with funder contracts
- Effectively set priorities to meet deadlines and complete assignments
- Manage special projects as needed
- Other related duties as assigned
