Position Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support the Director of Operations and the management team. This position will be based on-site in a construction trailer at the project location in Canastota, NY. The role is fully in-office and is ideal for someone with experience in administrative roles, preferably within the construction or trades industries.
How you will contribute
General Administrative Support:
• Manage correspondence, screen and handle phone calls, and maintain follow-up systems.
• Schedule meetings and provide support on various projects to ensure smooth office operations.
• Achieve and maintain proficiency in software tools, including Microsoft Office, Procore, and ComputerEase.
Operations Support:
• Prepare project close-out documents, including Operations & Maintenance Manuals and record drawings, in a timely manner.
What we need from you
• Strong oral and written communication skills.
• Ability to work effectively under pressure.
• Exceptional attention to detail.
• Problem-solving skills with the ability to quickly identify and address issues.
• Experience with ComputerEase, Procore, Microsoft Excel, and Word is preferred.
Physical Requirements:
• Ability to lift and carry objects weighing up to 10 pounds (and occasionally more).
Education and Experience:
• Administrative experience and/or training, ideally in construction or related fields.
• 1–5 years of relevant administrative experience preferred.
