The Marketing Department is seeking a Senior Administrative Assistant to provide administrative support for executive members of the Corpo*** Marketing Leadership Team. The individual will coordinate scheduling, meeting requests, management and maintenance of calendars, travel arrangements, and expense reporting, among other administrative duties. Support for department-wide event planning will also be a key responsibility of this role.
The ideal candidate has excellent verbal and written communication skills, strong attention to detail and the ability to successfully manage multiple tasks simultaneously, demonstrating flexibility with changing priorities. The successful candidate must be able to manage highly confidential information, work independently, and interact and partner effectively with Senior Executives, their assistants, employees at all levels of the organization, as well as external parties.
Responsibilities include, but are not limited to:
- Handle all aspects of administrative support in a timely and professional manner
- Actively manage inquiries and meeting requests and related scheduling and calendar management
- Manage travel arrangements, related expense reporting, and invoice processing in a timely and accu*** manner
- Coordinate logistics for meetings, **s, and events (on-site, off-site, and virtual), with high attention to detail and follow-up
- Assist with onboarding new employees to the Marketing Department
- Maintain supplies and handle other administrative duties as assigned
- Provide back-up administrative support for other administrative assistants within Corpo*** Marketing to ensure coverage during business hours
Required Qualifications:
- 5+ years administrative experience supporting a senior level executive in a corpo*** environment
- Detail oriented with strong follow-up and organizational skills
- Motivated, self-starter with the ability to anticipate needs and proactively address issues
- Excellent written and verbal communication skills
- Ability to multi-task and set priorities; highly flexibility due to nature of working in a fast-paced corpo*** environment
- High level of professionalism with strong interpersonal skills
- Team-oriented and collaborative, with the ability to work independently
- Demonst***s solid problem-solving skills, exercises good judgment, and takes initiative
- Ability to maintain confidentiality and accuracy of data
- Bachelor's Degree preferred
- Proficient in Microsoft Office Suite, along with Teams, Zoom, or other digital communication platforms
