Overview
The Administrative Assistant II plays a vital role in supporting the daily operations of the organization. Key Responsibilities
Assist with daily office operations to ensure efficiency and productivity.
Manage calendar for executives, scheduling meetings and appointments.
Prepare and organize documents, reports, and presentations.
Coordinate travel arrangements, including flights, accommodations, and itineraries.
Handle incoming calls and correspondence in a professional manner.
Maintain and update filing systems, both electronic and physical.
Assist with project coordination and tracking progress of various initiatives.
Support financial processes such as invoicing and expense reports.
Prepare meeting agendas and take minutes during meetings.
Implement and maintain administrative procedures for improved efficiency.
Collaborate with other departments to ensure seamless interdepartmental operations.
Assist in training new administrative staff as needed.
Monitor office supplies and ordering supplies as necessary.
Maintain confidentiality of sensitive information and company documents.
Perform other related duties as assigned by management.
Required Qualifications
Associate’s degree in Business Administration or related field; Bachelor’s degree preferred.
A minimum of 2 years experience in an administrative support role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with office equipment, such as printers and copiers.
Strong organizational and project management skills.
Excellent written and verbal communication abilities.
Demonstrated ability to work independently and as part of a team.
Ability to handle confidential information with integrity.
Familiarity with basic bookkeeping or financial processing is a plus.
Strong problem-solving capabilities and attention to detail.
Experience with scheduling tools and document management systems.
Ability to prioritize tasks effectively in a fast-paced environment.
Positive attitude and willingness to assist others.

Knowledge of office management systems and procedures.
