About the Job
Xavier University’s College of Professional Sciences is currently seeking an Administrative Assistant to support and assist the Director of Centers for Education with contracts, administrative task, monitor the budgets and to serve as the point of contract between three educational centers (Center for Catholic Education, Center for Excellence in Education and Montessori Institute) and external clients.
Essential Duties and Responsibilities:
- Assist in grant management and new grant opportunities.
- Create contract documents, oversees project management partnerships with K12 schools, and coordinate travel arrangements.
- Assist with budget administration including the monitoring of relevant funds and orgs, procurement, and reconcile budget expenditures and P-Card.
- Ensures timely payment for contractors who conduct professional development services.
- Maintains office environment to include, processes and receive incoming and outgoing department mail, data, and communications, schedules meetings and space; maintains office supplies.
- Maintains the department and program websites.
- Coordinates communication and interacts with faculty, staff, students, and visitors.
- Other duties as assigned
Qualifications:
- High School Diploma or equivalent. Bachelor’s Degree preferred.
- At least 3 years in a similar role with comparable goals and responsibilities.
- Ability to adapt to a changing environment and handle multiple priorities.
- Excellent writing and analytical skills.
- Proficient in Microsoft Office, with aptitude to learn new software and systems.
Preferred Qualifications and Experience:
- Experience in higher education
- Experience with Banner FLAC, Cascade or other web content management system, and XavierBuy/e-Procurement system.
This is an hourly position working 37.50 hours per week.Hourly rate: $19.65
