Job title: Admin Assistant I 8 am to 4 pm daily Monday through Friday JOB TITLE Administrative Assistant - Global Master Data Business Partner JOB SCOPE (brief description of the overall purpose of the role) This function is responsible for North American master data domains (Customer, Material, Product, Vendor) and applicable functions/countries/categories and manufacturing plants. . The role is responsible for the front office activities in the “createâ€, “extendâ€, “changeâ€, and “deactivate†processes for the designated scope. The role should ensure compliance of back office with the policies and procedures for each master data domain. It is a single point of escalation and clarification from back office to ***. The role is also the business partner link for any Governance and sustainability topic, linked with the business. KEY RESPONSIBILITIES OR ACCOUNTABILITY (4-5 only, in order of importance and high level not specific “tasksâ€. Please also note the approx.. % of time spent on each area) 1. Validation of request and liaison between requestor (Business) and back office (entry) on domain specific requests to create / extend/ deactivate/ activate master data. Collaborate and provide insights to Business questions on setup and usage of data elements including systems, process and procedures to ensure productivity for business, including the Production Boms process for manufacturing. (25%) 2. Key point of contact for business functions / data owners and data consumers and tracking their E2E MD process flows. (20%) 3. Deploy and co-ordinate Governance and Sustainability initiatives with functions/market/plants/category (Quality, Performance, Training/Testing, industry standards) (15%) 4. Participate in local meetings (I2M, Business changes, Continuous Improvement, SCR, GS1,…) (10%) 5. Escalation and issue resolution. Governance calls with back office on performance, issues and reports. (10%) 6. Project support (Global, regional and local initiatives including link with back-office) (10%) 7. Key user responsibility for the assigned scope and a domain sub-process including testing and training and documentation. (10%) 8. Work toward maintaining and improving the Performance Measures and work with others to do the root cause analysis for any issues: • Satisfaction of MDM Customers • % MDM Requests Completed within Service Level Agreement • % MDM Requests Completed as Requested • % MD Consistent Within or Across Data Sources • % MD Compliant with Defined Rules • % Required MD that is Complete • Records/Objects Processed per FTE 9. Work toward maintaining and improving performance through KPI’s: Speed (on-time and fast-track), Quality (High-impact incidents and audit control, Service ( reach cost targets, professional standards), Simplification (15% reduction/year) RELATIONSHIPS (Internal / External, Type of interactions ) Stakeholder relations as Business partner role: • Local Business Function leaders and data owners/data consumers • Global and regional process leads • Global and regional governance and sustainability • Global and regional project teams. MAJOR CHALLENGES (Describe key challenges facing this role) • Balancing Regional goals/needs against global goals/needs. • Enforcing the Global MDM strategy with indirect authority and with partner organizations that will have their resources stressed as well. DECISION MAKING AUTHORITY (Indicate types of decisions the role makes, any approval processes or type of input made to enable others to make decisions) • Decide on validity of the requests. • Be the first escalation for questions or issue resolution from back-office. Resolve or escalate. MINIMUM EDUCATION, EXPERIENCE AND SKILLS REQUIRED (This is not what you might recruit as ideal but the minimum requirement to do job at average performance) • English Proficiency mandatory and any applicable local languages. • Min. 2 years of business experience in a functional area’s of finance/supply chain, of which min. 1 year in MDLZ. DIMENSIONS / SCOPE DATA (Statistics about the position which will give a clear picture of the size of the operation the Position manages, supervises or influences, and the magnitude (monetary measures, numbers of staff, sales or production volumes etc.) One or two of the following: • 5,000 Products, produced in more than 10 manufacturing plants, sold in more than 26 countries, using more than 100 Distribution Plants. • 30,000 Customers in more than 4 countries. • 5,000 direct Materials and 10,000 MRO materials in over 50 Manufacturing plants • 30,000 changes per month
