About the Job
This role provides high-level administrative assistance to the City Manager, Assistant City Manager, and/or other executive personnel. Responsibilities include ensuring efficient operations, maintaining confidentiality, and supporting the City Manager's Office and other departments as necessary.
This position serves as the first point of contact by answering and screening calls, greeting visitors, directing inquiries to appropriate personnel, and responding to questions from the public about departmental operations, programs, and policies. The ability to juggle multiple projects with potential interruptions throughout the workday will be important for this position.
The selected candidate will assist in scheduling, and coordinating meetings for designated personnel while maintaining and updating appointment calendars and may be called upon to coordinate/book travel arrangements. This position will prepare correspondence, memorandums, forms, fliers, and/or other types of departmental documentation as needed and will update and maintain assigned departmental records, electronic filing systems, and/or databases.
The ideal candidate will be comfortable working with numbers as they assist in preparing and/or administering assigned budget; track and monitor departmental expenditures and perform a variety of general bookkeeping and accounting functions on a routine basis.
Above average computer skills are needed to compile and analyze data; as well as to prepare, generate, and maintain a variety of administrative, operational, financial, and/or statistical reports.
Haltom City operates with a lean staff which means this position may provide administrative support to other departments as needed including providing backup coverage to staff in other departments. Operating lean means that every employee may be asked to perform other duties as assigned or required.
Although the building is new, this position will coordinate with building maintenance personnel regarding repair work required in assigned area.
Typical Qualifications:
- High School Diploma or equivalent; education beyond high school is preferred.
- Minimum three years administrative assistant experience.
- Must possess a valid Texas Driver's license (or be able to obtain one).
- Must be proficient in Microsoft Office Suite; advanced skills preferred.
- Bilingual Spanish or Vietnamese is preferred.
