Overview
Otterbein Granville has an opportunity for an experienced Administrative Assistant to join our Health Services team. The Administrative Assistant acts as the primary point of contact to residents and visitors of Otterbein Granville.
Shift: Monday-Friday from 8:30am - 5:00pm (may work occasional weekend day and holiday)
Responsibilities:
Welcomes Residents and Visitors by greeting them with an attitude of interest, in person, or on the telephone answering or referring inquiries in person or on the telephone directs Residents and Visitors maintaining partner and departmental directories.
Maintains Security by
- Following procedures
- Completing opening and closing duties daily following the open and closing checklist for the reception area.
- Monitoring entrance and lobby area
- Directing partners and emergency personnel in an emergency situation
Maintains Operations by
- Scheduling meeting rooms as necessary
- Being responsible for the operation of the copiers, printers and fax machines and communicating problems to the appropriate vendor and to the IT Manager
- Distributing mail daily to partners and strategic partners
- Keeping a supply of postage materials including stamps and weighing letters and packages for residents.
- Maintaining and updating partner telephone directory
- Ordering office supplies as required
- Carrying out such other duties as may, from time to time, be assigned
Maintains Telecommunication System by
- Being responsible for the operation of telephone system, both incoming and outgoing calls, messages, and recording system
- Communicating any telecommunications or phone console problems to the IT Manager
Maintains Board Confidence by
- Keeping information confidential
- Maintaining and updating board manual
ACCOUNTS PAYABLE FUNCTIONS
Verifies Accounts by
- Reconciling vendor statements and transactions
- Direct invoices to an appropriate department head or capital
Resolves Account Discrepancies by
- Receiving and answering inquiries from partners and vendors regarding purchase orders, invoice data, accounts payable checks and related matters
Maintains Accounts Payable historical records by
- Assisting with vendor credit applications
QUALIFICATIONS & EXPERIENCE
Prefer 1-3 years of related work experience in an office setting. Professional and courteous demeanor, accompanied by strong organizational skills, is required. Must maintain confidentiality at all times. Must be sensitive to the needs of residents, partners, and visitors. Must enjoy working with older adults. Experience answering a multi-line telephone. Experience with Microsoft Office Suite including Word, Excel, and PowerPoint along with good oral and written communication skills. A strong sense of initiative and creativity is desired.
