Structural Technologies is expanding our Heavy Civil division that has focus on the construction of new bridges, repair of existing bridges or special structures and water & waste-water tanks.
Recruiting for the position of an Administrative Assistant, the successful candidate would be based out of our Heavy Civil office in Dallas Fort Worth, Tx. In the position you will be an essential part of the division’s functionality with accountability for safety monthly toolbox talks, travel coordination, project document / drawing submittals, invoice and billing summaries, data entry, scanning, filing and overall division administrative responsibilities.
The successful candidate will also be responsible for:
- Working with construction documents and forms & entering production progress into tracking database
- Document control
- Dealing with queries on the phone and via email
- Managing incoming and outgoing mail
- Managing dairies, scheduling meetings and booking rooms
- Submit timely reports and prepare presentation / proposals as necessary
- Assisting with event planning and set up for the office or external company arrangements
- Maintain common work areas including meeting rooms and break rooms
- Assisting with payroll processing and accounts payable when needed
- Support budgeting and bookkeeping procedures
- Ordering supplies for office, safety and operational divisions
- Assist with new hire processing
- Answering and transferring phone calls when needed
- Receiving and distributing post and deliveries
- Assisting with additional administrative tasks
- Write reports, business correspondence and project documents
- Speak effectively before customers, employees or vendors
- Read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals
- All other duties not listed shall be assigned upon employment and growth in the position
Candidates who meet the following criteria may be considered for this position:
- Minimum high school diploma
- 2+ years of previous administrative experience
- Strong proficiency in Microsoft Office Suite (MS Word, MS Excel & MS Outlook essential) to create, respond to inquiries and develop & maintain spreadsheets for various operational tasks.
- Comfortable with learning new software programs
- Strong mathematic skills to add, subtract, multiply & divide in all units of measure
- Excellent written and verbal communication skills, as well as strong interpersonal skills
- Strong organizational and time management skills
- Valid drivers license for occasional travel
- Flexible, skilled at multi-tasking, detail oriented and organized
