Key Responsibilities:
- Calendar Management & Logistics: Manage appointments, meetings, and events, coordinating logistics, and arranging meeting room reservations for the Founder and Managing Director and for team gatherings.
- Manage & Update Internal Team Resources: Keep internal platforms up to date with recent travel information or process updates.
- Monthly Reporting Sales Reporting: Assist with pulling reports from our CRM software based on client, supplier, brand or dates.
- File Organization: Maintain and organize office files, documents, and records, ensuring accuracy and confidentiality.
- Onboarding Support: Assist with onboarding new employees, including setting up computers and access to Tynan portals.
- Product & Service Research: Complete due diligence research and summary for special projects and new technology platforms for the team.
- Team Collaboration: Effectively collaborate with colleagues and provide various administrative ad hoc support throughout the Tynan organization.
- Reconciliation: Monitor and reconcile incoming commission payments, ensuring accuracy and timeliness, and proactively follow up on overdue payments with suppliers.
- Misc Support: Support special projects and other tasks as directed by management.
- Bachelor's degree preferred, but will consider experience in lieu of degree.
- Minimum 4 years of experience in client services, personal/executive assistance, estate management or a relevant role.
- Excellent written and verbal communication skills, with a focus on professionalism and clarity.
- Creative problem-solving abilities and a meticulous attention to detail.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and CRM systems.
- Passion for travel and a desire to exceed client expectations.
