About the Job
- Printing, Shipping, and Scanning:
- Create FedEx labels and manage shipments.
- Access and handle PDFs via OneDrive, SharePoint, or email.
- Print and scan documents using Papercut or email platforms.
- Potentially add FedEx confirmation receipts to associated records.
- Document Management:
- Scan and save hard copies of permits and other agency communications.
- Organize and maintain records in OneDrive and SharePoint.
- Verify that signed reports and mail deliveries are properly saved in both hard copy and digital formats.
- Meeting and Event Logistics:
- Schedule and coordinate online (Teams) and in-person meetings.
- Reserve conference rooms and arrange necessary equipment.
- Organize workshops and large meetings, including annual workshops and planning events.
- Book hotel venues and coordinate food and beverage arrangements.
- Office Support:
- Refill office supplies such as printer paper and FedEx materials.
- Maintain the cleanliness and organization of common areas, including the lunchroom.
- Refill the drink fridge as needed.
- Assist with setup and teardown for office lunches and events.
- Mail Management:
- Collect mail from internal mailboxes and the external mailbox in the foyer.
- Distribute mail to appropriate office employees.
- Administrative Assistance:
- Approve invoices in Maximo software.
- Assist personnel with specific tasks as needed and trained.
- Education and Experience:
- High school diploma or equivalent required.
- Previous experience in an administrative or office support role is preferred.
- Skills:
- Proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word) and Adobe Acrobat.
- Familiarity with Teams video meetings and online collaboration tools.
- Excellent organizational skills with strong attention to detail.
- Good communication skills, both verbal and written.
- Ability to work independently and proactively identify tasks that need completion.
- Self-motivated with a strong sense of responsibility.
- Routine hours are Tuesdays and Thursdays from 9:00 AM to 3:00 PM.
- Hours may be adjusted as needed, up to 20 hours per week.
- Some Mondays may be required based on workload.
- Flexibility is required, as there may be times when you will be sent home early if the workload is light.
- Candidates must be available to start in January 2025.
- The role requires someone who is self-managing and can recognize tasks that need attention without direct instruction.
- The ability to work collaboratively and gather consensus within the team is essential.
