In this role, you will be responsible for answering telephones, processing pathology mail, and assisting with specimen transfers. You will play a key part in supporting the daily administrative functions of the facility while ensuring a positive experience for patients, staff, and healthcare professionals. This position requires excellent phone etiquette, strong computer skills, and the ability to work effectively in a small team setting.

- Epic experience
- Experience with a lab (medical)

Job Description: We are seeking a dedicated and organized Healthcare Administrative Assistant to join our team. In this role, you will be responsible for answering telephones, processing pathology mail, and assisting with specimen transfers. You will play a key part in supporting the daily administrative functions of the facility while ensuring a positive experience for patients, staff, and healthcare professionals. This position requires excellent phone etiquette, strong computer skills, and the ability to work effectively in a small team setting.
Key Responsibilities:
- Answer and manage incoming phone calls, directing calls to appropriate departments or individuals.
- Process and manage incoming pathology mail and documentation.
- Coordinate the transfer and handling of specimens in accordance with facility procedures.
- Provide administrative support to the clinical and laboratory teams as needed.
- Maintain accurate and up-to-date records in the Epic system, ensuring all information is correctly entered and accessible.
- Assist with scheduling and follow-up communications related to specimen processing or pathology results.
- Collaborate with team members to maintain smooth operations and contribute to a positive work environment.
- Ensure that all tasks are performed in compliance with healthcare regulations and facility standards.
- Demonstrate professional phone skills, appearance, and communication at all times when interacting with patients, healthcare professionals, and staff.
- Perform other related duties as assigned by the supervisor.
- Experience with Epic electronic health record (EHR) system.
- Basic computer skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Prior laboratory or healthcare experience is required.
- Strong organizational skills with the ability to manage multiple tasks.
- Excellent phone etiquette and communication skills.
- Ability to work well both independently and as part of a small team.
- Professional appearance and demeanor.
- Strong attention to detail and ability to follow protocols and procedures.
- Previous experience in a healthcare administrative role.
- Knowledge of pathology or laboratory processes.
- Familiarity with medical terminology and specimen handling procedures.
Physical Requirements:
- Ability to sit for extended periods.
- Ability to lift and carry light office supplies and materials as needed
