SUMMARY: Under the direct supervision of the Chief Operations Officer (COO), this person performs diverse administrative duties for the This position requires a high degree of professionalism, confidentiality, and loyalty to the health center's mission. The Administrative Assistant will thrive in a fast-paced environment with great adaptability, organizational and time management skills.
STANDARD RESPONSIBILITIES:
- Knowledge and understanding of Employee Handbook.
- Carry out the meaning of the CSMD Mission and Vision statements.
- Practice a culture of safety to reduce or prevent risk of injury, claims, loss or liability by utilizing the Risk Management and Infection Control Plan.
- Perform responsibilities with a high-quality standard to yield improved compliance, quality, and patient outcome measures by adhering to the Quality Improvement Plan.
- Be present and ready for work as scheduled.
- Attend in-service trainings, departmental meetings, and community events.
- Work cohesively with team members.
CORE RESPONSIBILITIES:
- Prepare reports, letters, and memos as requested by the Chief Operations Officer and/or key management and distribute as indicated.
- Handle sensitive and confidential materials.
- Maintain confidentiality of workplace information according to the policies and procedures of the institution.
- Manage Chief Operations Officer calendar and coordinate internal and external meetings.
- Assist Chief Operations Officer in grant writing activities and other projects of an operational and fiscal nature.
- Maintain a neat, orderly, and confidential work area keeping files, faxes, correspondences, and other key information in a secure environment.
- Assist in the coordination of in-service and off-site education and training for Board Members.
- Participates in CQI activities.
- Maintain administrative supply inventory by processing ordering of supplies on a monthly or as needed basis.
- Responsible for coordinating purchasing requisitions for the Chief Operations Officer.
- Perform other duties as assigned.
REQUIREMENTS
- An Associate Degree is required. Three years of administrative experience will substitute for the Associate's Degree.
- Bachelor Degree preferred.
- The position requires a minimum of three years' experience in office management to include advanced level computer experience with proficiency in Microsoft Office products.
- Excellent verbal and written communication and interpersonal skills.
- Must have outstanding organizational and time management skills.
- Must be able to effectively resolve conflicts.
- Performs all job responsibilities in full compliance with all applicable laws, rules, regulations, policies and procedures.
