Under the general supervision of the Associate Vice-President of Practice Management and the Director of Practice Management the Administrative Assistant provides administrative support services including coordination, planning, recording and managing of schedules, appointments, meetings, events, assigned projects, answering and placing phone calls and drafting correspondence. Attends meetings, records, transcribes and maintains minutes as well as various related administrative support services. Strives for superior performance by consistently providing a product or service to leadership and staff that is recognized as ultimately contributing to the patient and family experience. Recognizes and demonstrates understanding of patient and family centered care.
PRIMARY JOB RESPONSIBILITIES
- Supports Vice-President, Associate Vice-President of Practice Management and Anesthesiology Services, Associate Vice-President of Neurology/Clinical Research and the Directors or Practice Management in daily operations to include calendars and schedules.
- Perform administrative office assistant duties for administration, including but not limited to:
-Attend designated meetings, record minutes, and type and maintain minutes.
-Maintain and update as needed job descriptions.
-Demonstrate strong computer skills in Microsoft Office Programs. Perform keyboarding, proofing, copying, indexing and distribution of Policies and Procedures, meeting agendas and other items.
-Coordinate Department and Operational meetings as requested.
-Support Vice-President and legal counsel in relation to employee agreements and leases.
-Works closely with Michigan State Loan Repayment program and provider enrolled within the program.
-Assists with processing capital budget requests.
-Receive, prioritize and disseminate administrative calls to appropriate leader.
-Manages quarterly provider events to include All Provider Business Meeting and the Advanced Practice Provider Meeting.
-Support and assist leadership with department specific projects and activities. - Maintain strict confidentiality at all times.
- Types, distributes and maintains necessary documents.
- Manages related invoices.
- Process payroll for administrative members.
- Answers correspondence and requests on own initiative. Must be able to draft and compose correspondence on own.
- Demonstrate knowledge of and support of company mission, vision and value statements, standards, policies, procedures, operating instructions, confidentiality statements, corporate compliance plan, and the standards of behavior.
- Perform other duties as necessary with supervision.
- Maintain flexibility of schedule in order to attend early morning and evening meetings as needed.
REQUIREMENTS
- 3+ Years as an Administrative Assistant - Required
- Healthcare Experience - Preferred
- Associate Degree in Business Administration or related field - Highly Preferred
