Altus specializes in delivering comprehensive engineering, prototyping, testing, and production capabilities, including design, fabrication, assembly, and compliance support to our Government customers. The Administrative Assistant will be responsible for performing routine administrative functions and supporting our team.
Primary Responsibilities:
Timekeeping and Reporting:
- Provide and collect daily work sheets. Validate daily hours before submitting them to the Program Manager (PM) for review.
- Insert daily hours into Unanet ensuring accuracy and timeliness.
- Collect and verify employee signatures on weekly job sheets and cross-check them against Unanet records.
- Enter all timesheet data into MFTS, the official program of record for government working hours.
Leave and Calendar Management:
- Track and update leave, leave without pay (LWOP), and other absences via the Outlook Calendar.
- Serve as the HR point of contact for leave and pay questions.
Vehicle and Equipment Tracking:
- Track and update monthly vehicle fuel and mileage reports.
Administrative Purchasing:
- Manage the administrative purchase card, including following established procedures for purchasing supplies and materials.
HR and Training Support:
- Act as the HR point of contact for training-related matters.
- Support employee onboarding and check-out processes, including tracking certifications and training.
General Administrative Duties:
- Perform routine and advanced administrative duties to support site management, such as managing files, drafting correspondence, preparing reports, and maintaining office supplies.
- Organize and maintain confidential files and databases, ensuring compliance with company and government regulations.
- Provide guidance to employees regarding time and project accounting, ensuring timely and accurate weekly reports and bi-weekly payroll processing.
- Support site management with various clerical tasks such as filing, document preparation, and operating office equipment.
- Make administrative runs to procure necessary supplies for the office.
Cost and Project Accounting:
- Ensure employee project accounting aligns with company and customer requirements for accurate billing to active project charge lines.
- Collect, analyze, validate, and deliver weekly project charging data to the customer.
Employee Coordination:
- Liaise with corporate HR, program management, and government personnel to ensure smooth communication and maintain accurate personnel records.
Expense and Travel Management:
- Coordinate staff travel arrangements, process expense reports, and ensure timely reimbursement.
- Collect and verify receipts for accuracy before submission.
Qualifications:
- High school diploma or equivalent.
- 3 years prior administrative or clerical experience is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills with the ability to multitask.
- Excellent written and verbal communication skills.
- Ability to work both independently and as part of a team.
- Experience with timekeeping systems such as Unanet and MFTS is a plus.
Work Conditions:
Conditions will vary. Capable of working outdoors and occasionally from elevated work platforms with a fall protection harness and in temperatures ranging from 0-120. Must be able to lift a minimum of 50 pounds. Overtime is a requirement of this position.
