Vaco is seeking a detail-oriented and efficient Accounts Payable Specialist to join a great finance team. The Accounts Payable Specialist will be responsible for processing invoices, ensuring timely payments, and maintaining accurate financial records. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Key Responsibilities:
Invoice Processing:
- Review, verify, and process invoices for payment.
- Match purchase orders to invoices and ensure accurate coding.
- Enter and upload invoices into the accounting system.
- Resolve invoice discrepancies and issues promptly.
Payment Management:
- Prepare and process electronic transfers and payments.
- Issue checks for accounts payable.
- Monitor accounts to ensure payments are up-to-date.
- Reconcile vendor statements and resolve discrepancies.
Record Keeping:
- Maintain accurate and organized financial records.
- Ensure all supporting documentation is complete and filed appropriately.
- Assist with month-end closing and accruals.
Compliance and Reporting:
- Ensure compliance with company policies and accounting principles.
- Prepare and submit 1099 forms.
- Assist with internal and external audits as needed.
- Generate reports and provide analysis on accounts payable activities.
Vendor Relations:
- Communicate with vendors regarding payment status and issues.
- Establish and maintain positive relationships with vendors.
- Address and resolve vendor inquiries and disputes.
Requirements:
- Experience: Minimum of 2-3 years of accounts payable or related accounting experience.
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
- Technical Skills: Proficiency with accounting software (e.g., QuickBooks, SAP) and Microsoft Office Suite, particularly Excel.
- Knowledge: Understanding of basic accounting principles and accounts payable processes.
- Skills:
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Superior communication skills, both verbal and written.
- Ability to handle sensitive and confidential information with discretion.

The individual may also be eligible for discretionary bonuses.
