As we continue to expand, we’re looking for a full-time, detail oriented and proactive Mid-Level Accounting Specialist to join our team at our office in Vienna, VA. This is not a remote position. The Accounting Specialist will manage core financial operations and play a key role in maintaining accurate financial processes and supporting our overall business objectives. The salary range for this position is $90,000 to $120,000 depending on experience.

Responsibilities:
As the Accounting Specialist, you will manage a wide range of accounting functions, ensuring accuracy, compliance, and timeliness in financial operations. Your responsibilities will include:
- Partner with the COO to establish and enforce accounting policies and procedures, ensuring compliance with government contract requirements.
- Assist the COO with month-end close processes, ensuring accurate and timely financial reporting.
- Manage employee payroll through ADP Run, ensuring accurate and timely processing. Address payroll-related issues promptly, review and approve expense reports, and incorporate reimbursements into payroll.
- Track benefit deductions, wage garnishments, and other deductions and ensure they are accurate in payroll.
- Maintain payroll records, ensuring compliance with applicable laws and company policies.
- Monitor employee time sheets, follow up with managers on missed submissions or required corrections.
- Oversee accounts payable functions, including reconciliation of employee benefit deductions, payroll deductions, and insurance premium billing and collections.
- Process and review vendor invoices to ensure proper coding, compliance with government regulations, and adherence to company policies.
- Process and review vendor payments in a timely and accurate manner.
- Audit and approve independent contractor invoices and expense reports, ensuring compliance with government regulations and company policies.
- Manage federal and multi-state reporting requirements, including W-2s, 941s, and other monthly, quarterly, and year-end filings, ensuring accuracy and timeliness.
- Compile and distribute various internal financial management reports.
- Prepare and reconcile journal entries to ensure General Ledger accuracy.
- Assist with monthly, quarterly, and annual financial closings.
- Prepare financial reports such as income statements, balance sheets, and cash flow analyses.
- Reconcile bank statements, credit card statements, and General Ledger accounts to ensure accuracy.
- Investigate and resolve variances or discrepancies in financial records.
- Maintain and update financial records with a high degree of precision and confidentiality.
- Support internal and external audits, providing necessary documentation and information.
- Collaborate with leadership to enhance financial processes and internal controls.
- Participate in ad-hoc projects and initiatives as required to support the finance team.
- Bachelor’s degree in Accounting, Finance, or a related field.
- A minimum of 3–5 years of experience in accounting or bookkeeping roles.
- Proficiency in accounting software (e.g., QuickBooks and ADP) and Microsoft Office Suite, especially Excel.
- Strong understanding of payroll systems and tax regulations.
- Excellent analytical, organizational, and problem-solving skills.
- High level of accuracy and attention to detail.
- Ability to work both independently and collaboratively in a team environment.
