About the Job
The Account Manager, Event Solutions supports the logistical planning and execution of meetings and conferences, based on guidance from the meetings and conferences lead within the Event Solutions Division, thus ensuring event goals and objectives are achieved. The Account Manager, Event Solutions will work directly with IMN project teams, IMN clients and industry suppliers ensuring all client needs are met and expectations exceeded. Core job responsibilities require strong professional customer service, organizational skills, ability to task switch, creative thinking, and problem solving.
Key Responsibilities
Event Operations:
· Management of conference and event logistics; pre, on-site and post, in-person and virtual
· Coordination of all aspects of the event planning process for monthly local meetings in the DMV
· Management and coordination of all vendors, staff, and volunteers as required
· Creation of the event specifications documents
· Management of staff on-site
· Registration management on-site as needed
· Speaker management support on-site if needed
· Execution of any sponsor, exhibitor, and partner program deliverables
· Planning and execution of planning site visits for each meeting assigned
· Management of all administrative duties and details associated with the event including financial operations, distribution of promotional materials, and responding to inquiries
· Working closely with client team members to align registration, marketing, education sessions and speaker management, accounting, and administrative efforts
· Performance of other related duties as assigned
Client Services:
· Responsible for understanding the established standard operating procedures for IMN client accounts
· Delivering exceptional customer service
· Working directly with client and/or venues, and vendors to resolve issues
· Creative out-of-the-box thinking
Database & Internal Support:
· Ensure all account data is entered into the IMN database in a timely and efficient manner
· Creating and maintaining client information electronically
· Working in a highly collaborative team environment
Requirements:
• Must live in the Washington D.C./Maryland/Virginia metro area
• Must have transportation to attend and execute monthly meetings in the DMV
• Certified Meeting Planner (CMP) designation a plus
• Ability to work in a fast-paced environment and adapt to changing priorities
• 2+ Years in the Hospitality Industry (Meeting Planning and/or Hotel CSM)
• Strong knowledge or experience in project management and meeting planning
• Expert time management skills
• Good judgement skills and adherence to deadlines
• Ability to work independently and collaboratively cross-team
• Proficiency in Microsoft Office with exceptional experience working in spreadsheets; SmartSheet, Adobe Acrobat; database management; knowledge in Cvent a plus
• Attention to detail; organization skills; ability to multi-task; interpersonal communication; strong negotiation tactics, strategic and analytic thinking are essential
• This position is fully remote and will require a working atmosphere free of distractions
• This position will require travel to client meetings, industry events and site visits
Physical Requirements:
· Must be able to stand and walk for long periods of time during events
· Must be able to lift up to 25 pounds at times
· Must be able to work a variety of hours to accommodate events
