Job Summary
The David Eccles School of Business at the University of Utah is seeking an enthusiastic and proactive Academic and Program Coordinator to join our Specialized Master's Programs. This role contributes to delivering an exceptional student experience, ensuring academic success, and supporting the smooth operation of the program. The ideal candidate will be committed to providing outstanding service to prospective and current students, alumni, faculty, and staff, addressing their needs with professionalism, empathy, and a solutions-oriented approach.
This position requires strong communication, organizational skills, and a customer-centric mindset, along with the ability to foster meaningful relationships within a collaborative environment. The Academic and Program Coordinator will play a central role in advising, supporting program activities, and enhancing the student journey through high-quality interactions and efficient administrative support.
Responsibilities
- Academic Advising & Student Support:
- Provide academic advising and guidance on program requirements, course selection, and scheduling to ensure students meet their academic goals.
- Monitor student progress and proactively engage with those needing additional support or resources.
- Maintain regular communication with students, keeping them informed about program updates, deadlines, and university policies.
- Faculty Support:
- Coordinate course materials and support faculty with classroom logistics, ensuring alignment with program goals and smooth classroom operations.
- Assist faculty with university systems, processes, and other instructional needs.
- Oversee the timely processing of faculty-related administrative tasks, including pay and material procurement.
- Recruitment, Admissions & Onboarding:
- Support recruitment and admissions efforts by communicating with prospective students and new admits and providing information about the program(s).
- Facilitate the onboarding process for newly admitted students, covering program details, student platforms, and academic expectations.
- Ensure compliance with university enrollment regulations and verify documentation.
- Program Operations & Administration:
- Maintain accurate student records and databases, ensuring confidentiality and data integrity.
- Track key metrics, such as enrollment trends, student performance, and retention, to support data-driven decision-making.
- Continuously improve workflows and program processes to optimize efficiency.
- Budget Management:
- Track program budgets and manage financial aspects of student support initiatives, ensuring fiscal responsibility and efficiency.
- Event Coordination:
- Coordinate select student-focused events (e.g., orientation, graduation, alumni gatherings) to foster networking and community-building.
- Oversee logistical arrangements, including scheduling, IT setup, catering, and other resources, to ensure seamless event execution.

Minimum Qualifications
Bachelor's degree or equivalency (one year of education can be substituted for two years of related work experience).
Demonstrated human relations and effective communication skills

- Bachelor's degree in a related field; experience in higher education or student support preferred.

- Experience in program coordination, student advising, or similar roles within an academic setting is a plus.
