SCOPE OF WORK + TERMS
TITLE: 2025 CHSWF Retail Lead
PRIMARY CONTACTS: Brand + Creative Manager, Production Manager, Director of Business Operations
TERM: Contract February 12, 2025 - March 15, 2024
LOCATION: Charleston, SC
CONTRACT FEE: $2,500 to be paid in installments
This fee is all-encompassing, and Charleston Wine + Food will not reimburse for any additional expenses unless previously negotiated and outlined in this contract.
OVERVIEW:
The CHSWF Retail Lead is responsible for running the merchandising + sales of Charleston Wine + Food retail at the Culinary Village: March 7-9, 2025
Schedule:
- CHSWF Retail Organization: based on your schedule between February 12th - February 28th
- CHSWF Retail Set-Up at Culinary Village: based on your schedule between March 1st - March 5th
- Culinary Village sales:
- Friday, March 7th: 11:00AM - 7:00PM
- Saturday, March 8th: 11:00AM - 7:00PM
- Sunday, March 9th: 11:00AM - 7:00PM
- Breakdown CHSWF Retail Set-Up at Culinary Village: Monday, March 10th
- Reorganize CHSWF Retail: based on your schedule between March 11th - March 14th
PRINCIPAL ACCOUNTABILITIES
- PRIOR TO ALL EVENTS
- Develop plan for retail activations and work with Production Manager to ensure equipment is accounted for + added to event layout
- Learn point-of-sale technology requirements for check-out + reconciliation process, including wifi needs per location
- Organize and prep all CHSWF Retail items
- Bring CHSWF Retail to Johnson Hagood Stadium
- SET-UP
- Ensure all point-of-sale technology is charged
- Fully merchandise + set-up retail area with retail, signage, and design items
- Ensure all retail is accounted for and displayed properly
- Install any necessary signage
- Greet and train Volunteers assigned to assist with retail sales on the ground
- DURING EVENT
- Manage applicable documents as well as the point-of-sale platform. If not functioning properly, call Director of Business Operations
- Be onsite to act as main salesperson throughout the entirety of the event, and ensure Volunteers are prepared to lead during any breaks
- Treat customers with fantastic customer service + respect
- Track "coupons" giving Retail discounts
- Maintain look + feel of retail space and ensure retail is neatly displayed + replenished
- Be cognizant of potential theft opportunities and report any incidents immediately to staff and security
- Act as CHSWF representative, making decisions on the ground to best represent the brand
- BREAKDOWN
- Close the booth, ensuring space is clean and ready for rental pick-up
- Take note of other general learnings that CHSWF can enact for future events
- Ensure any point-of-sale equipment + retail items are properly stored
- Pack-up retail, signage, and design items to take to next event when appropriate
- Flag any sold-out items to Production Manager + Brand Manager
- POST-FESTIVAL
- Pack-up leftover merchandise and deliver to CHSWF HQ
- Provide inventory of leftover merchandise in Google Sheet format
- Share learnings that CHSWF can enact for future festivals, including fast/slow sellers
REQUIREMENTS
- Must provide cell phone and be available for contact during contract
- Must provide own transportation to, between, and from events, as well as be willing to transport retail
- Must be organized with diligent attention to detail
- Ability to work collaboratively with a variety of people
- Comfortable working in an outdoor setting, including rain, cold, mud
- Ability to do some physical work including lifting boxes and field set-up, standing for up to 8+ hours
- Prior retail or customer service experience required
- Prior merchandising or other creative design experience is encouraged
- Experience with POS systems encouraged
